GapOnly vet portal user roles

Details regarding the access provided to each user role.

The GapOnly vet portal has four user roles:

  • Frontline

  • Finance

  • Location Manager

  • Business Administrator

If you need your access upgraded, you can contact your Business Administrator or Location Manager(s). You can see who has those roles in your business or location settings.


Frontline

The frontline profile is designed for team members who manage the pet parent interaction from a reception and payment perspective.

This role can:

  • Manage pet details

  • Manage pet parent details

  • Create invoices

  • Process claims

  • Take payments

  • View settings and location details

Their access is location specific. If they work across multiple locations, you will need to enable their access for each location in their user settings.


Finance

The finance role is designed for reporting and oversight of financial transactions. This role can:

  • View invoices

  • View claims

  • View payments

  • Access remittances

  • Access reporting

  • View settings and location details

Their access is location specific. If they work across multiple locations, you will need to enable their access for each location in their user settings.


Location Manager

Location Managers is for administration staff within a location, this role can:

  • Manage pet details

  • Manage pet parent details

  • Create invoices

  • Process claims

  • Take payments

  • View remittances

  • Assign other staff members as Location Managers

  • View and edit (but not delete) locations

  • Create, view and edit staff members within their location/s.

Their access is location specific. If they work across multiple locations, you will need to enable their access for each location in their user settings.


Business Administrator

Business Administrator is the highest level of access - in summary, this role can do everything, including:

  • Create claims/invoices at any location

  • Create, view, edit and delete any:

    • Pet records

    • Staff members

    • Locations

  • View remittance for transactions processed at any location

  • Assign other staff members as Location Managers or Business Administrators

  • Access all Reports for the business

  • Manage the payment method

  • Manage the business' Card Payments settings, including settlement details
