How to lodge a GapOnly claim

How to create a GapOnly claim via the vet portal

Before you start

Time to complete: ~5 minutes

What you'll need:

  • Invoice reference

  • Primary treating vet's name & location

  • Pet's name (policy details must be stored in the pet's details)

  • Diagnosis, including consult notes

  • Medical history (to be uploaded)

  • Any additional supporting documents

  • Item details for claim (treatment date, description & fee)


Step-by-step guide

Step 1: Navigate to claim screen

  1. Select 'Get Paid' in the left hand menu.

  2. Select to create a GapOnly claim.

Step 2: Invoice details

  1. Enter the invoice reference from your practice management system.

Step 3: Practitioner details

  1. Select the location for where the treatment took place.

  2. Selected the primary practitioner for the treatment.

Step 4: Pet details

  1. Select the pet from the drop-down list.

  2. If the pet is now deceased, this can be updated here. Select 'deceased' and add the date of death.

Note: Please ensure policy details are recorded in the pet's details.

Step 5: Claim details

  1. Enter the diagnosis (max 100 characters).

  2. Add your clinical notes (can be copied and pasted from your VPMS).

  3. Upload the pet's medical history.

  4. Add any additional supporting documents (optional).

Step 6: Item details

  1. Add item date.

  2. Add item description.

  3. Add item fee.

  4. Add item quantity.

  5. Add any discount applied.

Note: for additional items, click '+ Add another item' and repeat the above steps.

Step 7: Submit claim

  1. Review total.

  2. Click 'Submit'.

Note: GapOnly can only accept claims Monday to Saturday, 8.00am to 10.00pm. Outside of these hours, you'll be prompted to accept a card payment for this claim.


What's Next?

Your claim will now be reviewed by our team and an outcome will be confirmed within 10 minutes. You will receive an email once this has been completed.

If your assessment will take longer than 10 minutes, you will receive a call from our team.
